DescriptionPosition SummaryReporting to the Area General Manager, this position is responsible for providing support to the Central Coast operations, Sales and corporate billing department with various administrative duties. Position Responsibilities Review daily order reports and track/monitor projects that exceed prelim threshold. Send requests to customers for preliminary job information & process preliminary notices within 20 days from start of the projects. Process credit/rebills including researching short-paid invoices and making necessary adjustments. Create orders from quotes and as necessary when asked by weighmasters. Manage customer master data file, master order pricing and price lists. JWS order/data maintenance. Review Daily Order Report for Ready Mix vs delivery tickets, check for standby time, pricing & quantity errors and make corrections as need be or as directed by sale reps. Review Daily Order Report for Aggregate and HMA and make changes as needed or directed by sales rep including JWS Exception Report corrections. Create projects for sales reps- AB219 jobs, various pricing or special projects. Command project/data maintenance. Assist sales reps with other tasks as needed Data maintenance: Manage pricing and order/project information in JWS & Command as needed (price increases, completing projects, clearing expired orders, etc) Creating projects from quotes in Command as needed Mass mailings for price increase letters Submit insurance certificate requests for Sales Reps as needed Assist Credit Manager with outstanding items on aging report Request tax certificates from customers when applicable or missing for resale purchases or partial tax exemptions Maintain records of Tax Certificates Review cash sale accounts and follow up with batchmen on outstanding items & clear pending items when necessary. Review Daily Cash Sale Packets to ensure accuracy and completeness Monitor cash sale accounts and follow up on open items weekly Compare current open PO report and landed cost report and update cost on price calculators accordingly Gather data on previous months preliminary notice stats and customer job data as directed by VP/GMPosition Requirements: Must have high school diploma or GED, college degree with focus Business, Marketing, Accounting or Finance preferred, or the equivalent of relevant education and work experience. Basic understanding of Accounting Practices and Financial Reporting Minimum of two years of general business experience preferably in aggregates and/or ready-mix operations or a related industry Superior customer service skills Experience in A/P, A/R, or Credit a plus Extensive exposure/knowledge of administration processes and procedures, and product knowledge in a similar sales environment Prior administrative experience a plus. Experience with prevailing wage is an asset. Must have excellent computer skills with MS Office experience Detail oriented with strong organization skills and ability to multitask. Effective interpersonal skills with the ability to communicate and contribute as a team member. Strong written and oral communication skills.
