This mission requires passion, determination and a diverse growing army of talented professionals.-- --Explore joining our mission by connecting with Sunrun's Talent Network or submitting an application to this job today.--------OverviewThe Facilities Administrative Assistant role will provide general office support and primary assistance to the Facilities Manager and Facilities Coordinator within a specified region. This position also represents the face of the office by greeting guests, vendors and directing deliveries. An essential function of this position is ensuring that the office environment is not only welcoming, but running efficiently and effectively by taking the lead on organization of office supply inventory, maintenance of office equipment, mail processing and related front office activities. With the guidance of Human Resources and the hiring Manager the position assists with the onboarding of new employees. Other essential responsibilities include the oversight of Facilities ticketing system, processing facilities invoices as requested.Responsibilities

  • Welcome and advise guests
  • Monitor and respond to Facilities ticket requests when appropriate. Set up scheduled preventative maintenance tasks and new vendors within the ProLease system
  • Perform vendor setups in Oracle--
  • Create purchase requisitions and track purchase orders
  • Assist with building security through keycard and key issuance as well as security passcode set ups----
  • Partner with with the Talent Department to onboard new employees locally, including desk set up, new employee facilities welcome kit and employee security card and parking permit issuance
  • Assist with off boarding employees (collect key cards and keys, parking passes, office supplies, etc.)
  • General office tasks, including business card ordering, processing & delivering mail & packages, invoice processing, maintaining seating charts and updating team calendars
  • Manage office supplies and create orders locally. Coordinate creation of new Staples & UPS accounts as needed for all locations within their region
  • Assist Facilities Coordinators with property intake forms and certificates of insurance as well as branch vendor service and utility set ups and transfersQualifications------
    • Minimum 1 year office administration experience required, 2 years preferred.
    • High School Diploma
    • Proficiency with Microsoft Office, Google Suite, Oracle, Pro Lease, Salesforce and 3rd party proprietary software
    • Demonstrated ability to communicate and build credibility with all levels of the organization--
    • Professional presence, approachable and friendly, positive attitude and-- collaborative style with a team orientation
    • Proven experience in creating an excellent customer experience with a strong customer service background
    • Ability to think critically and identify and resolve problems--
    • Ability to deliver client-focused solutions based on customer needs
    • Strong verbal and written communication skills
    • Proven relationship builder with integrity, reliability and maturity
