DISTINGUISHING CHARACTERISTICS An incumbent in this position will perform a variety of responsible, clerical work in support of the college's administrators and confidential employees. The incumbent will be the primary point of contact for telephone inquiries and visitors. Incumbents in this position support student learning outcomes and institutional effectiveness by serving as the first point of contact for the public and providing support for the administrator and confidential employees. Essential Functions & Qualifications ESSENTIAL FUNCTIONS * Answer the main phone line, direct calls and visitors to appropriate personnel* Greet office and building visitors with courtesy and tact;* Perform complex office support work for the administrators and confidential employees;* Maintain directory of college employees;* Provide information about general college services;* Schedule interviews, meetings, and workshops;* Operate standard office equipment;* Utilize the District's integrated software in performing the required duties of this position;* Perform other related duties as required. QUALIFICATIONS Education: Required * Graduation from high school; Preferred * Associate degree Experience: Required * Answering phones in an educational, business, or professional setting;* Customer service* Office operations Preferred * Three years of increasingly responsible clerical/receptionist experience; Knowledge of: * Exceptional customer service delivery techniques;* Organization and function of an educational institution;* Receptionist and telephone etiquette and techniques;* Records keeping practices and procedures;* Office methods and practices including filing systems;* Current technologies, personal computer, and associated office software such as word processing, spreadsheet, presentation, and/or database software;* Correct usage of English, grammar, spelling, punctuation, and vocabulary; and* District policies and procedures. Ability to: * Maintain a welcoming demeanor and positive tone while interacting with others;* Organize information, workload, and establish priorities to complete assigned work with general supervision and within established timelines;* Establish and maintain cooperative working relationships with those contacted in the performance of duties; and* Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and of staff and students with physical and learning disabilities. Physical ability to: * Read and comprehend printed matter and text and data on computer monitors;* Communicate intelligibly and effectively via speech, telephone, written correspondence, and/or email;* Sit or stand for extended periods of time;* Lift and/or carry 15 pounds; and* Exert manual dexterity sufficient for keyboard and other office equipment operation. SALARY SCHEDULE Below is the full salary schedule range for this position, steps A through E. Per our bargaining agreement, we can only place new employees at Steps A through C, which is the anticipated hiring range also listed below.
